UPI QR Payments for Indian Shops: A Practical Safety Checklist

A UPI QR code can make checkout faster, but a shop should verify money in its own account before treating an order as paid. Screenshots, messages and a customer's claim of a successful transfer are not a substitute for checking the merchant or bank app. This guide gives a practical routine for staff at a counter or on delivery.

Set up a clear receiving process

Display a QR code linked to the correct business receiving account and keep the printed code clean and visible. If using a soundbox, reconcile its alert with transaction history rather than relying on sound alone. Show the payable amount clearly before the customer scans; if several counters share an account, include a bill or order reference in the record.

At checkout, wait for the incoming transaction to appear in the shop's own merchant or bank app. Check the amount, status and time against the bill. When there is a delay, ask the customer to wait or use the provider's official support flow; avoid handing over a high-value item based only on a screenshot. Reconcile UPI receipts with invoices or sales records at the end of the shift.

Know the direction of a payment

NPCI's safety guidance says a UPI PIN is entered to make a payment, not to receive money. Scanning a QR code is normally for paying someone, not for accepting an incoming payment. A person who asks a merchant to enter a PIN to “confirm a refund” or “release” a customer payment is a warning sign. Never share an OTP, PIN or screen access with a caller.

Handle mistakes consistently

If a customer says payment succeeded but it is not visible, note the transaction reference and follow the bank or payment application's official dispute process. Do not ask staff to make an instant refund to a different account because of pressure at the counter. Record who authorised a genuine refund and retain the original receipt and refund reference.

  • Check the printed QR for replacement or tampering each day.
  • Confirm every incoming amount in your own transaction history.
  • Restrict access to merchant-account credentials.
  • Train staff on PIN and OTP scams.
  • Reconcile sales, refunds and settlement statements.

Provider interfaces and dispute rules vary. Use the current guidance from the bank or payment app for a specific failed transaction.
